WATER AND ENVIRONMENT JOURNAL
NOTES FOR THE GUIDANCE OF AUTHORS
These Notes are intended to guide authors in details of presentation. Papers submitted to the Journal should follow the format set out in these Notes.
General
Water and Environment Journal is the leading publication in its field, dealing with worldwide aspects of the water cycle and a broad range of environmental matters, including the management of solid and hazardous wastes, control of air pollution and environmental conservation.
The Institution publishes papers presented by members and non-members at meetings of its local branches, papers from national and international conferences and symposia and papers which are submitted for Journal publication alone.
CIWEM members and other Journal subscribers will be interested to hear about the work you are doing. Operational, Scientific, Technical and Research papers are welcomed, and short papers (1500 to 2500 words), as well as full-length papers (up to 5000 words), are encouraged.
Papers to be published in the Journal must be original, and are expected to be of a high standard – not only in respect of their subject matter and its treatment, but also in the quality of the writing. Particular attention should be paid to clarity and conciseness of expression.
Sustainability
Papers submitted to the Journal should encompass the principles of sustainable development. Papers which promote clearly unsustainable practices will not be accepted for publication.
Refereeing
Three expert referees assess each paper and a decision as to publication is made by the Institution's Editorial Panel, on the basis of the referees’ reports. Accepted papers are typically published in the Journal within 12 months of submission. Where authors are invited to resubmit their paper for consideration in the journal, feedback is given to authors to help them with the revising of their papers. However it is CIWEM’s policy not to enter into correspondence regarding the reasons for rejection, with authors whose papers have not been accepted.
Language
Authors whose first language is not English should ensure that their final draft is carefully checked by a competent native English speaker for language accuracy and appropriacy.
Length
Papers, including illustrations and tables, must not exceed (the equivalent of) approximately 5000 words in length. Short papers (between 1500 and 2500 words) are also encouraged. Authors are asked to perform a word count and state the number of words at the end of the paper.
Title
The title of the paper should be as short as possible and consistent with a clear indication of the subject matter. The name(s), qualifications and appointment(s) of the author(s) should be given, with the date and venue of the presentation, where applicable.
Abstract
An abstract of not more than 150 words should be included at the beginning of the paper. It should briefly indicate the subject and scope of the paper, calling attention to points of special interest, e.g. method of investigation and important results.
Keywords
Up to 8 key words should be listed in alphabetical order for use in retrieval systems.
Layout
The layout of the main body of the paper will depend upon the subject but, in general, a paper should follow the following format:
Abstract; Key words; Introduction (this should not repeat what has been said in the abstract); Main exposition, subdivided as appropriate for the subject; Discussion, if required, e.g. of experimental results; Conclusions, which should be numbered (they should not include tables, figures, or references); Acknowledgements; References; Word count; Appendices, if necessary.

Headings
Not more than three levels of headings should be used. Main headings should be typed (in bold letters) centrally on the page, and secondary headings (in bold letters) at the left of the page. Third level headings should be typed in italics at the left of the page. Numbering of paragraphs and sections of a paper should be avoided.
Units
The Systčme International (SI) should be used for all units of measurement as far as possible. The oblique stroke should be used (e.g. m3/d), not the negative index (m3d-1). Temperature should be expressed in oC.
Illustrations
Diagrams should be drawn without boundary boxes and should be as simple as possible, but should contain enough information to be understood without reference to the text. Any map should include a compass point. Captions (in italics) should be concise and appear below illustrations. Photographs can help to enhance the overall appearance of a paper.
Tables
Tables should be as few and as simple as possible. Graphs are often preferable to tables, and the same data should not be presented in both forms. Captions (in italics) should appear above tables.
Acknowledgements
These should be to the authority by whose permission the paper is published, any sources of grants or funds to support the work, colleagues or others who have made significant contributions to the work, and any copyright holders who have given permission for their work to be quoted.
References
References to literature should be numbered consecutively in the text with superscript numbers in brackets, thus, (3). They should be listed in the same order at the end of the paper, giving the following details:
Number of reference (in brackets); name(s), followed by initial(s) of author(s); title of paper or book; year of publication; volume number (in bold type); part number (in brackets); and first page of paper.
References for Website addresses should only be used where the hardcopy reference is unavailable. Authors should ensure that Website references are in full, sustainable, refer directly to the reference and are live.

Submission
Papers should be formatted in Word (preferably using 12 pt ‘Arial’ font) with single line spacing. Illustrations should be in Word or Excel format.
There are two options for submission of papers (Option (a) is preferable, for environmental reasons):
a) If the file size is under 3 MB, an electronic copy of the paper, containing the text, tables and illustrations, can be submitted by email to Harriet Greene (Email: hgreene@ciwem.org);
Or, alternatively, b) An electronic copy on CD or floppy disk can be sent by post to Harriet Greene, Policy Support Officer, CIWEM, 15 John Street, London WC1N 2EB. Please send the paper as a single file with any accompanying figures integral to the text.
Please note that only where there is a proven need, will 4 hard copies of papers be accepted in place of an electronic version.
Copyright
As a condition of, and in consideration for, publication by the Institution, the author agrees to assign the copyright of the paper to the Institution. The Institution will not unreasonably refuse authority to publish certain material elsewhere following publication by the Institution, provided that due acknowledgement is made. In line with CIWEM’s Copyright Policy, a charge may be levied for copyright usage.
It is the author's responsibility to obtain permission from the copyright holders to reproduce any copyright material, including diagrams, tables, etc. which he or she wishes to include in the paper. Adequate acknowledgement must be made in the paper.
Editing
The Editor reserves the right to amend a manuscript if it does not comply with the Institution's requirements and not to publish any parts which he considers to be superfluous or to which he takes exception.
Reprints
Three complimentary copies of the issue of the Journal in which the paper appears will be supplied free to the senior author. If further copies of the paper are required they will be supplied as separate reprints. Authors will be advised accordingly.
